We’re a small but focused Shopify agency helping fast-growing ecommerce brands thrive through ongoing support, strategic consultancy, and custom design / development. Our clients are subscription-based VIP partners who rely on us for advice, support, and implementation across Shopify and its ecosystem (apps, integrations, analytics, UX).
Our reputation is built on attention to detail, responsiveness, and strategic thinking — but right now, our founder is managing everything solo. We’re now looking to streamline and grow the business. This new role will play a key part in getting us to that next level, and that’s where you come in.
The role
We’re looking for a proactive and organised Client Success & Project Coordinator to help manage day-to-day client communication, task coordination, and support operations. You'll be the key point of contact for our clients — ensuring nothing falls through the cracks and that we deliver consistent, high-quality service.
You’ll track tasks in Asana, host update calls, liaise with clients via Slack and email, and generally help keep things running smoothly. You’ll also help improve how we deliver work, spot inefficiencies, and suggest smarter ways of operating as we scale — including adopting AI technologies.
This is a part-time role, ideal for someone with a background in ecommerce or digital project coordination. Hands-on familiarity with Shopify is a must, as is the ability to take ownership of client delivery processes.
Experience working in a fast-paced agency environment would be an advantage.
Key responsibilities
🧑💻 Client Coordination & Support
Monitor client Slack channels, Asana, and ticketed email inboxes.
Triage incoming queries and send follow-ups.
Draft responses and escalate questions or requests as needed.
Maintain a calm, helpful, and proactive tone in all client interactions.
Resolve simple client requests / quick action items.
Host weekly/fortnightly task update calls with VIP clients (Zoom or similar), following up with notes and action items.
Regularly provide proactive input on suggestions for clients.
📋 Project & task management
Keep our Asana boards updated — marking tasks complete, tracking progress, assigning due dates, and flagging blockers.
Monitor client monthly utilisation, and report on value delivered.
Chase clients for approvals, content, or assets needed to complete work.
Log new requests and ensure they are briefed and assigned correctly.
⚙️ Operational support
Coordinate with freelancers (e.g., designers or developers) to assign tasks and check on progress.
Prepare agendas and light briefing notes ahead of calls.
Track recurring tasks like monthly reports or Shopify updates.
Help maintain internal documents and process checklists.
Utilise AI to assist with operations delivery and efficiency.
🔍 Light admin & research
Research Shopify apps, features, or plugins to match client needs.
Draft quotes or proposals from templates based on client briefs.
Help streamline and improve internal processes over time.
Requirements
✅ Must-have skills
Strong familiarity with Shopify and its admin interface.
Minimum 2 years experience in a client-facing or digital coordination role within ecommerce.
Excellent written and verbal English communication.
Project/task management experience (Asana preferred).
Organised, detail-focused, and proactive.
Comfortable on client calls with junior and senior stakeholders alike, and presenting updates professionally.
🌟 Bonus skills
Previous agency experience.
Understanding of Klaviyo, Recharge, GA4, or Shopify analytics.
Familiarity with Slack, Calendly, and Google Workspace.
Experience working with freelancers or coordinating distributed teams.
Working hours & structure
Part-time: approx. 20-24 hours/week to start.
UK based (you must have the right to work in the UK).
Remote working.
Potential for additional hours when the agency scales.
